How to export abstracts to Word

Learn how to export abstract submissions to a Microsoft Word document.

Eventsforce provides both event managers and abstract reviewers the ability to export abstract submissions to a Microsoft Word document. The “Export to Word template” can be customized by the event manager to control what abstract, review, and author information is included. Exporting to Word is an easy way for reviewers to take abstract submission data offline for further review.

There are two ways the “Export to Word” functionality can be used in Eventsforce:

  1. If the setting is enabled, abstract reviewers can export submissions to word when logged in as a reviewer

  2. At any point in time, event managers can export abstract submissions to word from the Abstracts > Submissions > Management page

Allowing reviewers to export to Word

Event managers can choose whether or not reviewers have the option to “Export to Word”. This setting can be enabled by taking the steps below:

  1. Go to Abstracts > Setup > Settings

  2. In the ‘Reviews’ panel, select the “Allow export to Word” checkbox

  3. Click “Save”

Editing the Word template

Once reviewers can export to word, event managers can now edit the “Word Template”. This is recommended to ensure reviewers are only seeing the information you allow them to. For example, if you are using the “blinding” options to hide author details from reviewers, you will want to edit the word template and remove the author fields. 

  1. Go to Abstracts > Setup > Settings

  2. In the ‘Reviews’ panel, select the “Edit Word Template…” button

  3. Add or remove information as needed

  4. Click “Save”

Note: We recommend customizing the Word template prior to inviting abstract reviewers.

Exporting to Word as abstract reviewers

Once you’ve allowed reviewers to export to Word and customized your Word template, reviewers can now use this functionality when reviewing abstracts. Reviewers can export abstract submissions to Word by taking the steps below:

  1. Reviewer must login to the review process

  2. Select the checkbox for all abstracts to be exported OR select the checkbox for the individual abstracts to export

  3. Select the “Export to Word” button in the bottom right

  4. Download and open the Microsoft Word file

Exporting to Word as an event manager

Event managers can export abstract submissions to Word by taking the steps below:

  1. Go to Abstracts > Management > Submissions

  2. Select one or multiple abstract submissions (hold ‘CTRL’ or ‘Command’ to select multiple submissions)

  3. Use the ‘Tools’ dropdown and select “Export selected submissions to Word…”

  4. Click “Select” for the “Reviewer's Frontend Abstract Export” to use the same Word template available to reviewers OR click “Select” for the “Backend Abstract Export” which is only available to event managers

Note: Use the “Edit’ button prior to clicking “Select” to edit the ‘Backend Abstract Export’. Changes made to the “Backend Abstract Export” template will not affect the “Reviewer’s Front Abstract Export” template.
