Importing Simpleview CRM FAM Trip Itineraries as Eventsforce Sessions

Learn how to import your CRM FAM Trip Itineraries to create Event Sessions in Eventsforce.

Organizations work to bring revenue to their destinations through various events, such as conventions and conferences. Before event organizers decide where to hold their convention or conference, they are often invited to tour destinations beforehand. These tours are called FAMiliarization (FAM) Trips.

It is common for an organization to create an itinerary for their FAM Trip Attendees. All itinerary activities are stored in the Itinerary Tab of the Simpleview CRM. Read the Simpleview CRM FAM / Site Inspection Group article for more information on building itineraries.

How to import a FAM Trip Itinerary into Eventsforce

To import a FAM Trip itinerary from the Simpleview CRM into Eventsforce, first ensure that your CRM Event is connected to the Event in Eventsforce.

Once your FAM Trip Itinerary is complete in your Simpleview CRM, navigate to the event in Eventsforce, then follow these steps:

  1. Go to Setup > Program > Sessions

  2. Click the Plus Icon

  3. Click ‘Import from CRM …’

  4. In the confirmation pop-up, select ‘Import’ to continue importing the itinerary as sessions

  5. Review the session imports and updates, and if applicable, if any sessions could not be imported

  6. Click ‘Ok’

Note: Sessions will be created using the time zone of the connected Simpleview CRM.

If an Activity from the CRM Itinerary has an associated Contact, a presenter will be created and assigned to the Eventsforce session.

Note: If you update the Contact’s name in the Simpleview CRM and then re-import the CRM Itinerary into Eventsforce, the Event’s presenter will reflect the update. This update only happens if the original source of the presenter was the Simpleview CRM. If you manually create a presenter in Eventsforce, that presenter will not be used by sessions imported from the Simpleview CRM, even if the presenter shares a name and email address with the CRM Contact.

If an Activity from the CRM Itinerary has an associated location, a location will be created and assigned to the Eventsforce session.

Note: If you re-import a CRM itinerary containing location information changes, the updates won't be reflected in the existing location. Instead, a new location will be created and assigned to the session. The previous location will remain in the locations menu (Setup > Program > Locations).
