How to add judging panels and award judges

Learn how to create judge panels and add award judges.

As the award submission process is underway, event managers can begin adding judges to their awards event. Award judges are added within judge panels. Judge panels are used to restrict which awards entries judges can review/grade upon logging in. 

A judge panel can consist of one or more judges and can be assigned to an award category. Each award category can be linked to one judge panel only. 

Note: A judge can exist in more than one judge panel. A judge who is added to two or more panels will see entries across multiple award categories.

Adding award judge panels

Event managers can add as many judge panels as needed in the event. If every award category should use a different set of judges, create a unique judge panel for each award category. If all judges should see the same entries, add all judges to a single judge panel.

Judge panels can be added in the event by doing the following:

  1. Go to Awards > Setup > Judging Panel

  2. Click “Add” in the top left

  3. Enter a name for the judge panel

  4. Click “Save”

  5. Repeat steps 2-4 until all judge panels have been added 

Adding award judges

Once judging panels have been added, the next step is to add judges within the panels. Award judges can be added to the event in two ways:

  1. Adding judges individually

  2. Importing judges from a list

For events with a large number of judges, importing a list of people with judges will be more efficient.

Adding judges individually

For events with a lower number of award judges, event managers can add judges to judge panels as one-offs by taking the following steps:

  1. Go to Awards > Setup > Judge Panel

  2. Click the “Members” button for the judge panel you want to add the judge to

  3. Click the “Create a New Judge from Scratch” link in the bottom right

  4. Enter the email address, firstname, and lastname for the award judge

  5. Click “Save”

Note: If the person already exists in Eventsforce, enter the “email” only in step #4 and click “Save” as the system will find the matching person in Eventsforce and pre-populate the rest of the data. 

Adding judges from a list

When working with a larger number of judges, importing a list of people will be more efficient than adding judges individually. First, create a list of people containing your judges. If creating multiple judge panels, you may want to create a separate list for each panel. 

Once the list of people has been imported, judges can be added from the list by taking the following steps:

  1. Go to Awards > Setup > Judge Panel

  2. Click the “Members” button for the judge panel you want to add the judge to

  3. Click the “Add an Existing Person as a Judge” in the bottom left

  4. On the “”Search” page, click “Edit” for “People from the following lists”

  5. Search for and select the list containing judges, then click “Continue”

  6. Click the “Search” button on the top left 

  7. Select the judges that should be added by selecting the checkbox on the right hand side

  8. Click “Proceed” to add the selected judges
