Group booking options

Learn about your options when setting up a group registration event.

Registration in Eventsforce Groups & Ticketing can be configured as individual or group bookings. To choose a group booking registration path for your event, click “Allow multiple attendees in a registration”.

When you select group booking for your event, a new section appears.

This section contains the following settings:

The options for these settings are detailed in the sections below.

This order is considered to be complete

Your selection here determines when the order is considered complete. Use the toggle to select between:

Before attendee details are entered

If you want to prioritize taking the order, this is the option you should choose. If you select “Before the attendee details are entered ", bookers can complete their order without attendee details. You will likely see “unnamed” attendees on the attendee grid until their details are entered.

This is the default selection.

After attendee details are entered

If you want to prioritize attendee data collection, select “After attendee details are entered”. This will ensure attendee details, including session and extra selections, are entered before the order can be considered complete. This will prevent “unnamed” attendees from appearing on your attendees grid.

Your selection here determines who enters attendee details for each order. Use the toggle to select between:

Attendees

If you want attendees to fill in their information, select ‘Attendees’. The ‘Attendees’ group booking mode allows the booker to reserve tickets and invite attendees to manage their registration and schedules in Eventsforce. Bookers can pass the responsibility of data and schedule management to the attendees.

Even when using the “Attendee” option, the booker can still enter data and book sessions on behalf of the attendees.

This is the default selection.

Bookers

If you want bookers to enter attendee information, select ‘Bookers’. The ‘Booker’ group organizer mode allows the booker to purchase tickets, then enter data and book sessions on behalf of attendees. Attendees cannot enter their information or manage their schedules. Bookers are solely responsible for data and schedule management for all attendees in the group.

Toggle combinations

Use the following scenarios to help you decide which settings you want for your event.

Before the attendee details are entered + Attendees

The booker can book tickets and invite attendees to enter their information. The order will be considered to be complete at this stage.

After attendee details are entered + Attendees

The booker can book tickets and invite attendees to enter their information. Attendees must enter their information before the order is considered complete.

Before the attendee details are entered + Bookers

The booker can book tickets and consider the order complete. The booker can return at a later date to enter attendee details.

After attendee details are entered + Bookers

The booker must fill in attendee details before they are able to complete their order. Attendees appear in the order they were entered.
