Learn about the default reports available in Eventsforce.

Eventsforce offers the following hardcoded reports that can be run at any time. Some reports are specific to the event you are currently working in, while others include data from all events.

Managing report data

When viewing report data, event managers can adjust their view and data by sorting, grouping, and removing columns. The data displays with timestamps. If entries don't appear to be displayed in your time zone, update your preferences by going to Settings > Settings > System Settings > Default time zone.

  • Sorting: Click on any column name to sort by this column. Click again to change from ascending/descending sorting. Click a third time to remove the sort by that column. Click on other columns to sort by more than one column if needed (ex: sort by ‘Last name’, then ‘First name’).

  • Grouping: Click and drag a column to the space between the ‘Tools’ icons and column headers to group data by that column. Drag multiple columns to add a secondary grouping, tertiary grouping, and more.

  • Hiding display columns: Use the ‘Display columns’ icon in the top left to show/hide columns in your report. Only the active columns will be included when the report is exported to Excel.

Attendees and answers (this event)

Report outputs a row per attendee and includes all answers for the selected event, including custom questions. The report also includes additional information about the registration, such as registered date, order reference, ticket #, attendee category, and ticket name.

The report only includes active registrations; cancelled attendees are excluded from the report. For cancellation data, view “Canceled attendees (this event)”.

Attendees are those with a ‘person ticket’, and are the people you can expect to attend your event.

Note: To get data from a different event, visit Events > Show all events, select the event you want data for and then run the report.

Orders, tickets and totals (this event)

Report outputs a row per order, including the number of tickets booked and totals for the selected event. An order can contain one or more tickets and is completed by the booker, who may or may not also be an attendee.

A breakdown is shown per ticket type, indicating the quantity of each ticket booked, total revenue per ticket (if applicable), total discounts, and total tax.

Note: To get data from a different event, visit Events > Show all events, select the event you want data for and then run the report.

Payments by date

Report outputs a row per payment across all events, filtered to the selected payment creation date/time range. A date range is requested when the report is run. No results will be returned if the date range filter is left blank.

Data shown for each payment includes payment method, payment amount, card details, payment date, latest transaction ID, booker data, order reference, event name, and more.

Invoices and credit notes by date

Report outputs a row per invoice and credit notes across all events, filtered to the selected date range. Event managers can download any individual invoice, credit note, or payment receipt from the report data.

Invoices/purchase receipts are generated for orders with a fee. Credit notes are generated to cancel out a previous invoice when the cost associated with an order has changed.

Download an individual’s invoice, credit note, or payment receipt by clicking the ‘eye’ icon on the right-hand side of the report data. Clicking this icon will begin the download for that item.

Orders audit (this event)

Report outputs a row per audit trail comment for an order. Audit trail comments can include data updates (data added or changed), invoice status updates, payment amounts, and transaction identifiers.

Data is sorted by date/time to show the oldest values on top and the most recent changes on bottom.

Canceled attendees (this event)

Report outputs a row per canceled attendee within the selected event. Canceled attendees are those who were previously registered but canceled (ticket removed from order). Data for canceled attendees will only be shown if the information was added before the ticket was removed from the order.

Data includes order reference, ticket type, ticket number, canceled time stamps, canceled by and canceled amount.

Booked sessions (this event)

The report displays a row for each session an attendee booked for the current event. If an attendee has registered for multiple sessions, multiple rows will appear with the same attendee details.

Data includes session, attendee, booker and order details, along with registration and updated time stamps.

Unsubscribed email addresses

The report outputs a row per email address that has unsubscribed from your Eventsforce emails. If a user chooses to opt-out from one email, they will be automatically unsubscribed from all emails, not just event-specific emails.

Data includes an email address and the unsubscribe date.
