How to assign judge panels and invite award judges

Learn how to assign judges to panels and invite award judges to review award entries.

Before asking award judges to grade/review award entries, event managers should have already done the following:

Once judge panels have been assigned to award categories, invites can then be sent to the judge panel.

Assigning a judge panel to an award category

Award judges are able to see and review award entries within the award categories their judge panel has been assigned to. Each award category can have a single judge panel assigned. Event managers can assign judge panels by taking the following steps:

  1. Go to Awards > Setup > Categories

  2. Click on a category name

  3. Select a ‘Judge Panel’ from the dropdown box

  4. Click “Save”

Add a personal judging link to the invitation email

Before sending the judge invitation email, event managers should ensure a personal judging link is included on the invitation email, and the invitation email should be activated. Here are the steps on how to add a personal judge's link to the invitation email to judges and activate the email:

  1. Go to Communications > Automatic

  2. Against 'Invitation email to Judges' click Edit

  3. Type the text that you will turn into a clickable link

  4. Highlight the text that you will turn into a clickable link

  5. Click on Insert/edit link icon

  6. In the Link List dropdown select Awards: Judge

  7. Click OK and click Save

  8. Click the checkbox next to the 'Invitation email to Judges' to activate

  9. In the 'Email from' field, enter the email address you want to send this invite from

  10. Click Save

Inviting award judges to review/grade entries

Before sending the judge invitation email, event managers should verify the judging dates, and ensure all award categories have a judge panel assigned. Each judge panel will need to be invited individually. When ready to invite judges, take the following steps:

  1. Go to Awards > Setup > Categories

  2. Click on a category name with a judge panel assigned

  3. Select “Invite” to ‘Send invitation email to all judges in the panel’ when sending the initial invite

  4. Click “Save”

  5. Repeat steps 2-4 until all judge panels have been invited

Notes

  • Invitation emails to judges is required to be activated before sending invitations.

  • If only one judge panel is used for all categories, event managers only need to send the judge invite for one award category.

  • If the same judge panel is assigned to more than one award category, only send the judge invite in one award category.

  • If adding new judges to a panel, use the second “Invite” button to ‘Send Invitation email to NEW judges in the panel’

  • Use the “Remind” button to send a reminder email to judges
