Using Simpleview CRM lists with Eventsforce Groups & Ticketing

With the Simpleview CRM and Eventsforce integration, your organization may import attendee lists from the Simpleview CRM into an event in Eventsforce. Once you have configured your list in CRM, including adding the Eventsforce Event ID and establishing the connection, follow these steps to import the list into Eventsforce.

This article will cover the following:

How to turn on the CRM integration for an event in Groups & Ticketing

The event must also have the CRM integration turned on to pull attendee lists from the Simpleview CRM.

To turn on the CRM integration for an event, follow these steps:

  1. Go to Setup > Event > Properties

  2. Scroll down to the bottom of the page

  3. Click ‘Advanced’

  4. Toggle ‘Simpleview CRM Integration’ on

  5. Click ‘Save’

Note: The connection between the event in Eventsforce and in the Simpleview CRM must be established for this process to work. For more information on creating an Eventsforce-linked event in the CRM, read the ‘Defining and Using the CRM Integration’ article.

How to import a CRM list as an invitation list in Groups & Ticketing

If your organization has created a list of attendees in the Simpleview CRM that you want imported into an Eventsforce event, follow these steps:

  1. Go to People > Invitation List

  2. Click the Plus Icon

  3. Select ‘Import from CRM…’

  4. In the warning box, select ‘Import’ to continue importing the attendee list

  5. Review the invitee imports and updates

  6. Click ‘Ok’

  • Any attendees already added to your event in Eventsforce will be updated, if applicable, and not duplicated. After importing the list from the Simpleview CRM, a pop-up details the total number of invitees successfully imported and the total number of attendee records updated. If you have updated attendee information in the CRM after an initial import, re-import the list to reflect the changes in Eventsforce.

  • The attendee’s assigned ‘Attendee Type’ in the CRM will be imported into Eventsforce as their ‘Attendee Category’. If the category does not already exist for the event in Eventsforce, it will be created. This process does not create tickets or associate the new category with a ticket. You must assign the new category a ticket. If the attendee has already registered, their category will not be changed.

  • If the attendee’s ‘Send Email’ checkbox is unchecked in the CRM, the attendee will be imported with a status of ‘Unsubscribed’. Their email address will be added to the unsubscribe list for Eventsforce. If you check the ‘Send Email’ box after an initial attendee import and re-import the list, the attendee will not be removed from the unsubscribe list.

Viewing CRM transactions

Each time you initiate a transfer between the Simpleview CRM and the Eventsforce Groups & Ticketing platform, it is recorded.

To view your CRM and Eventsforce Groups & Ticketing transaction history, navigate to Settings > Simpleview CRM Integration > Transactions.

Transactions from the last year are displayed in a grid.

Successful transactions have a status of ‘Sent’.

Transactions that have not yet been completed have a status of ‘Queued’. Eventsforce will continue to sync with Simpleview CRM. Hover over the 'Retrying' status for sync details.

If you want to create a CSV file of the transactions, click the Spanner Icon, then ‘Export results to Excel…’
