How to record attendance with the Eventsforce Attendance app

Learn how to use our on-site app to quickly record attendance at your event.

Eventsforce Attendance, known as ‘EF Attendance’ in Apple’s app store, is an app that allows event planners to record attendance at their events using an iPhone or iPad. Eventsforce attendance is currently only available on iOS devices and cannot be downloaded on Android devices.

Event planners can check-in attendees quickly and efficiently into days or sessions, keeping attendee queues to a minimum by:

  • Scanning a QR code on a badge

  • Looking up an attendee by name

  • Marking 'walk-ins' as attended

Event planners will also be able to see:

  • Whether an attendee has paid

  • An attendee’s photo

  • The attendee category

  • If the person has registered for the day/session (based on the label)

Recorded attendance is seamlessly updated in Eventsforce, allowing you to generate reports with this information.

Setting up Eventsforce Attendance

The Eventsforce Attendance app can be linked to your Eventsforce event using two methods:

Due to the enhanced security of admin QR codes, your device must be using iOS 10+ to set up the attendance app using the admin QR code.

If your device uses iOS 9+ or previous, you must configure the Eventsforce Attendance app using the API key. ​

​Note: If using the API, we recommend that the user only have access to the current events to manage the list of events in the app more efficiently. If your account does not have API access, please contact your Eventsforce account manager or the Eventsforce support desk.

You can begin recording attendance once the Eventsforce Attendance app is linked to your Eventsforce event.

Note: The Eventsforce Attendance app is not compatible with dark mode. Please disable dark mode to use the app.

Recording attendance

From the main screen, the event manager can view all 'Attendees', 'Days', or 'Sessions' for the event.

Use the 'Attendees' list to view all attendees registered for your event. Use the ‘Search’ bar to locate an attendee quickly or scroll through the list. Once an attendee is selected, the attendees' details will be displayed on the screen. You can then record attendance for each day or session in your event.

Use the 'Days' list to view attendees by day. You will see 'Expected' attendees (those who registered for this day) at the top. Immediately following will be those marked as 'Attended'. Last on the list will be those who did not register for this day but can still be marked as attended. This is considered a 'walk-in'.

The following image illustrates the way attendees appear on the app.

  1. These attendees are registered for Day 1 but have yet to attend.

  2. These attendees have registered and attended Day 1.

  3. This attendee did not register for Day 1 but attended anyway and is therefore considered a walk-in.

  4. This attendee did not register for Day 1. If they attend, they will be considered a walk-in.

Mark someone as attended by doing one of the following:

Note: When using the ‘swipe’ option to mark a 'walk-in' as attended, you will be asked to confirm the action.

Use the 'Sessions' list to view attendees by session. You will see 'Expected' attendees (those who registered for this session) at the top. Immediately following will be those marked as 'Attended'. Last on the list will be those who did not register for this session but can still be marked as attended. This is considered a 'walk-in'.

Creating a new registration

If someone has not registered for an event but has arrived to attend, you can register a new attendee by selecting the Plus button from the ‘Attendees’ screen. Your website homepage will open in your phone's web browser, where you can fill in registration details for the attendee.
