EF Attendance is an app that allows event planners to record attendance at your events using an iPhone or iPad. Eventsforce attendance is currently only available on iOS devices, and cannot be downloaded on Android devices.
Note: We released a new version of Eventsforce on-site, now referred to as “EF Attendance”. Read "EF Attendance App" for more information.
Event planners can check-in attendees quickly and efficiently into days or sessions keeping attendee queues to a minimum by:
Scanning a QR code on a badge
Looking up an attendee by name
Marking “walk-ins” as attended
Event planners will also be able to see:
Whether an attendee has paid
An attendee photo
The attendee category
If the person has registered for the day/session (based on label)
Recorded attendance is seamlessly updated in Eventsforce, allowing you to generate reports with this information.
Setting up EF Attendance
The EF Attendance app can be linked to your Eventsforce event using two methods:
Using the admin QR code and PIN (recommended)
Due to enhanced security of admin QR codes, your device must be using iOS 10+ in order to set up attendance app using the admin QR code.
If your device uses iOS 9+, you must configure the EF Attendance app using the API key.
Note: If using the API, we recommend the user only have access to the current events so that managing the list of events in the app is more efficient. If your account does not yet have API access, please contact your Eventsforce account manager or the Eventsforce support desk.
Once the EF Attendance app is linked to your Eventsforce event, you can begin recording attendance.
Recording attendance
From the main screen, the event manager can view all “Attendees”, “Days”, or “Sessions” for the event.
Use the “Attendees” list to view all attendees registered for your event. Use the ‘Search’ bar to locate an attendee quickly or scroll through the list. Once an attendee is selected, the attendees' details will be displayed on the screen. You can then record attendance for days or sessions in your event.
Use the “Days” list to view attendees by day. You will see “Expected” attendees (those who registered for this day) at the top. Immediately following will be those marked as “Attended”. Last in the list will be those who did not register for this day but can still be marked as attended. This is considered a “walk-in”.
Mark someone as attended by doing one of the following:
Swipe from right to left on the person row to mark as “Attended”, swipe again to revert back to the previous status
Select the person and toggle the “Attended” slider against the day
Note: When using the ‘swipe’ option to mark a “Walk-in” as attended, you will be asked to confirm the action.
Use the “Sessions” list to view attendees by session. You will see “Expected” attendees (those who registered for this session) at the top. Immediately following will be those marked as “Attended”. Last in the list will be those who did not register for this session but can still be marked as attended. This is considered a “walk-in”.
Mark someone as attended by doing one of the following:
Select the person and toggle the “attended” option against the session
Swipe from right to left on the person row to mark as “Attended”, swipe again to revert back to “Expected”
Note: For profile pictures to be displayed, attendees must have uploaded a photo to the "Profile Picture" registration question.
Creating a new registration
If someone has not registered for an event but they have arrived to attend, you can register a new attendee by selecting the '+' icon from the ‘Attendees’ screen. Your event’s homepage will open in your phone's web browser.
